Patient Coordinator

Part-Time, Hourly | 20–30 hrs/week | Monday–Friday

Salt Aesthetics is a medical spa in Bend, Oregon. Founded by sisters Suzanne Puryear (DNP-FNP, NP-C) and Shannon Patterson (RN-BSN). 

Our philosophy is simple: less, not more. No pressure, ever. We explain everything clearly, answer every question thoroughly, and build treatment plans our patients actually trust.

We're a small, growing team and the person we hire for this role will be one of the most important people in the building.

The Role

This is not a "sit at the desk and check people in" job. You are the first voice patients hear, the first face they see, and a huge part of why they come back (or send their friends our way). Every phone call, check-in and follow-up is a chance to make someone feel genuinely taken care of.

We want someone who already thinks this way, or who lights up at the idea of it.

You'll anticipate what patients need before they ask. You'll make every person feel like the only patient in the room.

What You'll Do:

• Be the warm, confident first impression of Salt for every patient

• Manage scheduling, check-in, and check-out so our providers' days run smoothly

• Support patient conversion, retention, and rebooking with genuine follow-ups

• Process payments, memberships, and patient accounts accurately

• Help keep the space clean, organized, and welcoming

• Support marketing and social content as needed

• Helping with inventory tracking and counting

• Must be knowledgeable about skin care services and skin care products we sell

• Uphold HIPAA, patient privacy, and Salt's culture of zero-pressure, high-trust care

What We're Looking For:

• Excellent on the phone and in person — warm, clear, and genuinely likable

• Naturally organized and able to juggle scheduling, patients, and details 

• Comfortable learning new systems and technology quickly

• Proactive, High Agency — you solve problems and anticipate needs instead of waiting to be told

• Reliable, punctual, and calm under pressure

• Medical aesthetics or wellness experience is a plus

Details:

• Part-time, hourly: 20 to 30 hours/week, Monday through Friday

• $20 to $25 per hour, depending on experience

• No benefits or PTO at this stage

We are not hiring a receptionist. We are hiring the future face of Salt. As the clinic grows, this role grows, and the person in it helps decide what it becomes.
